What the graduation range covers
The graduation range is organised by what a ceremony actually uses: ten groups that carry a graduate from the walk across the stage to the gift handed over afterwards. The groups are caps tassels and cap decor, ceremony banners and pennants, graduation balloons and year numbers, backdrop cloths for stage and studio, academic dress accessories, graduation bears and keepsake figurines, gift bags packed per graduate, certificate tubes and gift sets, banquet table covers and tableware, and Congrats Grad greeting cards. The range runs on one scene axis that starts at kindergarten and primary ceremonies, carries through middle and high school, and finishes at college and university commencements, and it is quoted the way a school or a district buys rather than the way a retailer buys: a class of fifty to a hundred graduates, a school of three hundred, or a staged district order of a thousand and above, with the graduates, the staff on stage and the guests in the hall covered by one configuration. Each group is quoted per graduate or per table rather than as a loose item, so one order can fit a hundred graduates in child 20 cm and adult 25 cm crowns, carry a banner and a year number onto the stage, print a backdrop and a photo cloth, hand out a gift bag and a certificate tube, and set the banquet tables, all on one palette and one delivery date. A graduation buyer is rarely short of cap and tassel sets; the buyer has to kit out a class in two crown sizes, dress a stage and a photo wall, feed the families afterwards and send everyone home with something worth keeping. It serves four buying profiles, set out in the block that follows, and the same three numbers open every enquiry: how many graduates, how many guests, and which ceremony date. Campus procurement and student affairs offices buy against a purchase order and a budget line, so they need one quotation covering caps, tassels, academic dress accessories, gift bags and certificate tubes, one invoice, a crown-size and class-year breakdown they can justify to a committee, and a delivery window that lands before the rehearsal rather than on the morning of the ceremony. Graduation committees are usually volunteer-run with a fixed date and a short window, so they want a checklist more than a catalogue: what is needed per graduate, what has to be decided first, and what can be added late. Party and novelty wholesalers buy a retail-ready kit rather than a ceremony service, so they want fixed pack formats, own-brand packaging and labels, barcodes and a reorder route at a sensible minimum. Photography studios and event production companies return every year with the same stage, so they want the backdrop, prop and balloon groups specified once and repeatable, plus fast turnaround when a booking is confirmed late. International schools and early-years ceremonies carry the same four profiles with child sizing and a second peak in the calendar. The service model is the same for all of them. How the sets fit together, and the colours a ceremony runs on
A ceremony reads as one event when the colours are decided once and carried through every group, so the range is built on the palettes graduation actually uses. Black and gold is the default institutional scheme, navy and gold covers most schools with a crest, maroon and gold and forest green and gold suit traditional campuses, purple and silver suits modern and international schools, and ivory with blush or sage is the palette for younger and early-years ceremonies. The year number is the one motif that appears in every group, so decide it once and treat it as a constant: it belongs on the year charm, the banner, the year balloon, the photo backdrop and the certificate tube. Then set three values. The cap is dominant, the scarf, shawl or sash is the supporting colour, and the metallic accent lives on the year charm, the certificate tube and the greeting card. Placement matters more than quantity: a full metallic accent in every group looks noisy on camera, and a missing accent in the certificate tube and card groups makes the gift look like an afterthought. There is one structural difference from most seasonal ranges. A ceremony is photographed from three distances, so the stage pieces have to read from the back of a hall while the table and keepsake pieces are seen at arm's length, and the same palette has to work at both scales.
Class size and guest counts: how to size a ceremony order
The range is sized per graduate first and per table second, because both numbers arrive in the same enquiry. Per graduate the working assumption is one cap and tassel set, one sash or scarf, one gift bag, one certificate tube and one greeting card, with the cap ordered in the child 20 cm crown for kindergarten and primary ceremonies or the adult 25 cm crown for secondary, college and university ceremonies. One hundred graduates therefore means one hundred cap and tassel sets, one hundred gift bags, one hundred certificate tubes and one hundred cards, plus staff and faculty pieces, which are usually ordered at roughly one per ten graduates. Caps and academic dress accessories are sized rather than counted, and this is the single most important sizing decision on the programme: the child crown is 20 cm and the adult crown is 25 cm, and scarves, shawls, ties and sashes run on fixed measurements of 120 x 60 cm, 180 x 60 cm, 145 x 8 cm and 180 x 10 cm, so the order has to be committed as a quantity split by size rather than as one total. Class tiers follow the market. Fifty to one hundred graduates is a single programme; three hundred is where printing and packing have to be planned in batches; one thousand and above is a staged delivery. The guest side is sized separately: a banquet round seats eight to ten, so two hundred guests is twenty tables and roughly two hundred place settings, one 200 x 150 cm backdrop covers about two hundred guests, and balloon decor is quoted per one hundred graduates. Customisation: the year, the school name and the graduate's name
Custom work on this range splits into decoration and personalisation, and the distinction decides the lead time. Decoration is the school identity: the crest and the school name, the class year, the faculty colour band. Stoles are the main carrier and are either embroidered or printed, and embroidery reads richer and survives handling better while printing reaches fine detail and full colour; scarves, shawls and sashes carry the colour band and the crest, applied by embroidery or print. Tassel year charms are a die-struck or engraved part, and this is the item that catches buyers out, because the year changes annually and the die is fixed for the season, so a programme spanning two ceremony years needs both dies. Rigid and metallic pieces are where engraving and stamping live: laser engraving on the acrylic year charm, foil on the certificate tube, the gift bags and the cards, and printed or embroidered crests on the caps and scarves. Personalisation is the second half. Class year and school name are fixed artwork applied many times; graduate names on greeting cards, certificate tubes and gift bags are variable data, which needs a clean spreadsheet rather than a design file and cannot start until the final graduate list is closed. Send vector artwork in AI, EPS or PDF with fonts outlined, 3 mm bleed and Pantone references, and approve metal and foil finishes on a physical sample. Custom minimums run at 1,000 pieces for a crest or print on caps and balloons, 500 for embroidered academic dress sets and printed cards, 300 for banners, gift bags and certificate tubes, 200 for tableware sets and 100 for backdrop cloths, and colour mixing inside a design is normally allowed.
Packing a graduation order: bulk without the weight
A graduation order is light and bulky on the decoration side and small and dense on the keepsake side. Caps stack nested in the carton and travel flat rather than boxed; backdrop cloths, banners, pennants and table covers roll or flat-pack; plush bears take cube in proportion to their height, while resin and acrylic figurines are heavy for their size. Inner packing is quoted as a bag or a colour box inside the export carton, and the carton figures below are typical of the Yiwu graduation trade rather than confirmed values for a single line: cartons run in two size families, 50 x 40 x 40 cm and 70 x 50 x 60 cm, with same-family variants at 55 x 54 x 54, 66 x 41.5 x 43, 67 x 37.5 x 34, 70 x 50 x 58 and 88 x 58 x 54 cm. A full carton weighs 10 to 21 kg for most lines and can reach 41 kg on dense paper and metal items, and the packing count moves with the item size, from about 130 to 1,200 pieces per carton. Inner packing is marked in the trade as a count plus a box breakdown, for example 240 pieces to a carton as 12 pieces per box in 20 boxes. Two packing decisions belong in the enquiry. First, whether the sets are kitted per graduate so the school can hand out one bag per name. Second, protection: paper and foil items need a moisture barrier on a long sea crossing, and metal fittings and battery items need separate wrapping. Tell us the ceremony date and the campus split, and we will pack to the hand-out rather than to the carton.
MOQ, sampling and the two graduation peaks
Minimum order depends on the group, and it is quoted in two tiers. A bulk order starts at 2,000 pieces per SKU for caps, tassels and balloons, 1,000 pieces or sets for academic dress accessories and greeting cards, 500 pieces for banners, bears and gift bags, 300 sets for table covers and tableware, and 200 sheets for backdrop cloths. A small mixed batch opens lower: 500 pieces for caps and balloons, 200 pieces or sets for cards and academic dress accessories, 100 for banners, bears, gift bags and certificate tubes, 50 sets for tableware and 50 sheets for backdrops, and it can combine up to six colours in the balloon and card groups and four in the rest. Custom work sits above stock minimums: 1,000 pieces for a crest or print on caps and balloons, 500 for embroidered academic dress sets and printed cards, 300 for printed banners, gift bags and certificate tubes, 200 for tableware sets and 100 for backdrop cloths. Sampling runs three to seven days and the sample fee is normally credited against the order. Bulk production runs 10 to 20 days, customs clearance and loading three to seven days, and sea transit to Europe and North America 25 to 40 days. Graduation does not have one season, but the Yiwu export peak runs from June to July with the Christmas programme, so a spring ceremony is best booked three to four months ahead. Work backwards from the ceremony date and confirm quantities, sizing and lead times against the actual order.
Compliance: wearables, metal parts and food contact are three families
Three document families sit inside one ceremony order, and the split follows the item rather than the order. The first family is what a graduate wears. Caps, tassels, scarves, shawls, sashes and ties are wearable items: children's pieces can be produced to EN 71 in Europe and to CPSIA in the United States, including small parts and phthalate testing, and fibre and trim choice decides the result, so specify them before a sample is approved. The second family is chemistry on rigid and metal parts: metal fittings, year charms and LED caps can be produced to REACH for nickel release and lead content, and every LED or battery-powered item ships with transport documents for the cells under UN38.3, plus button-cell warnings where the destination market requires them. The third family is anything a graduate eats or drinks from: table covers are decoration, but plates, cups and napkins in a banquet set are food contact materials and can be produced to FDA or LFGB with a food contact report. Balloons can be produced to EN 71 with nitrosamine limits. Market access is checked per destination: EN 71 and CE requirements for the European Union, CPSIA and California Proposition 65 for the United States, and SASO or GCC for the Middle East. The range can be produced to EN 71 / CPSIA / FDA / LFGB / REACH and other standards; tell us the destination market at enquiry stage and ask us for the current test reports for the specific item, because reports are issued per item and per batch.
Quality control, and five things ceremony buyers get wrong
Five things go wrong on a ceremony programme. First, ordering caps without a size split. Committing to a single total guarantees both a shortage of the 25 cm adult crowns and dead stock in the 20 cm children's crowns, so the split is agreed before the order is placed. Second, treating the class year as artwork rather than as a die. The tassel year charm runs on a fixed annual die, and a programme that spans two ceremony years, or a reorder in January for a June ceremony, needs the year confirmed at sample stage. Third, forgetting that a ceremony is photographed. Tassels arrive tangled if the pack format is wrong, stoles and sashes crease if they are bundled rather than folded flat, and a backdrop that is too small for the hall shows in every photograph, so sizing is checked against the room rather than against the headcount. Fourth, issuing adult and child sizes from one specification: an early-years ceremony needs child sizing and elastic adjustments, and a single adult specification produces returns. Fifth, leaving the certificate tubes and gift bags until after the ceremony, when they should be in hand on the day. On the quality side our checks run on the fabric before cutting, on the print and embroidery run and on the finished sets: measurement against the agreed size chart, shade under fixed lighting, colour fastness on sashes, tassel attachment, print registration, plating and edge finish on metal items, carton drop and a pre-shipment inspection with a photo report. Third-party inspection is welcome and the acceptance standard is fixed before production.

What size split should we commit to for caps and academic dress, and can the minimum be split across sizes?
The curve is the most important decision on the programme, because a single total guarantees shortages in the mid sizes and dead stock at the extremes. Caps are committed as 20 cm children's crowns and 25 cm adult crowns, academic dress accessories run one size for children and one for adults, and staff pieces are ordered at around one per ten graduates. The minimum applies per size rather than to the total, so the curve multiplies the commitment. Send the graduating class profile and we will propose a curve; it is confirmed against the actual order.
Can you print or embroider the school name, the class year and each graduate's name?
Yes. School name, crest and class year are fixed artwork applied many times, and scarves, shawls and sashes can be embroidered or printed, with the colour band applied by embroidery or screen print. Graduate names on name cards, badges and gift tags are variable data, so we need a clean spreadsheet rather than a design file and the run cannot start until the final list is closed. The year on a tassel charm or engraved keepsake runs on a fixed annual die, so a programme spanning two ceremony years needs both.
How early should a campus procurement office order for a June ceremony?
Work backwards from the ceremony date. Sea transit to Europe and North America is 25 to 40 days, customs clearance and loading three to seven days, bulk production 10 to 20 days, and sampling three to seven days. The Yiwu export peak runs from June to July with the Christmas programme, so a spring ceremony is best booked three to four months ahead, which places a June ceremony enquiry in the first quarter. Graduation also carries two peaks, April to June in the northern hemisphere and November to December in the southern hemisphere. Timings are confirmed against the actual order.
Do caps, academic dress accessories and printed tableware need their own testing?
Yes, and they are different families. Caps, tassels, scarves, shawls, sashes and ties are wearable items: children's pieces can be produced to EN 71 in Europe and to CPSIA in the United States, including small parts and phthalate testing, and fibre and trim choice decides the result, so specify them before approving a sample. Metal fittings and year charms can be produced to REACH for nickel release and lead content. Plates, cups and cutlery in a banquet set are food contact materials.
