What the wedding range covers

The wedding range is organised the way a wedding is actually bought: eleven groups that follow the ceremony itself rather than eleven material categories. The groups follow the welcome and signing corner, the ceremony, the reception table and the send-off: acrylic and wooden welcome signs with place cards, favour boxes and candy tins, table numbers, favour and gift bags, guest books, silk and paper flowers, balloon and floral arches, table runners and napkin rings, champagne glasses, confetti and party poppers, and bridal room decor sets. Nothing here is quoted as a loose item. Each group is priced, packed and shipped as a set sized to a table count or a guest count, so one palette can be carried across all eleven. That is the point of the page. A wedding buyer is not short of two hundred napkins; the buyer needs the tableware, centrepieces, place cards, chair sashes, favours and packaging for twelve tables, in one colour system, arriving on one date, on one set of shipping documents. It serves four buying profiles, set out in the block that follows. The commercial question is rarely the piece price. It is whether one supplier can fill the whole look and hold the colours consistent across paper, ribbon, fabric and foil. The four buyers this range is configured for

Four buying profiles come to this page, and each one is quoted differently. Wedding planners and stylists work to a client's brief and a Saturday deadline, so they need one palette approved across substrates, one delivery date and a sample set before the client signs off; what they cannot absorb is a second shipment arriving in a different dye lot. Event production and venue companies buy at volume against a floor plan: arch frames, drapes, aisle decor and the table group, with a specification they can repeat from one event to the next and, increasingly, fabric documentation for the venue. Favour and gift wholesalers are buying a retail-ready set rather than a styling service, so they want fixed pack formats, own-brand packaging, barcodes and a reorder path that works at a sensible minimum. Campus and alumni offices, and corporate teams buying an anniversary or a staff celebration, need one quotation against one purchase order, an invoice that matches the budget cycle, and a delivery window that respects a fixed date. The service model is the same for all four. Tell us the table or guest count, the palette, the venue scale and the date, and we return a configuration list across the eleven groups with pack formats, an estimated shipped volume and the items that need a decision early. Nothing is quoted group by group in isolation, because a wedding is bought as a whole look and shipped as one programme.

How the sets fit together, and the colour systems behind them

A wedding order succeeds or fails on how the groups sit next to each other, so the range is built around colour systems rather than around products. Four systems cover most of the market: ivory, blush and sage; navy, burgundy and antique gold; terracotta, dusty rose and cream; and a monochrome black, white and silver scheme. Each system is carried across every substrate in the range, and each substrate behaves differently. Paper is printed, so card takes a colour cleanly and cheaply. Ribbon and fabric are dyed, which is where dye lots matter and where two suppliers will almost always disagree. Foil is stamped, so metallic accents are applied rather than printed and read differently on kraft, ivory and matte laminate. Acrylic and mirror finishes are neutral by nature and work as the accent layer. The practical rule is to fix the palette in three values: one dominant, one supporting, one accent. Then decide which groups carry the accent, because a full accent in every group looks heavy and a missing accent in the table group looks unfinished. Scale matters as much as colour. A twenty-table room needs fewer objects but larger ones, while an intimate ten-table ceremony can carry dense detail on the table. Table counts and guest counts: how to size a wedding order

The range is sized in tables and guests, because that is how a wedding is quoted and how a caterer plans. A standard round seats eight to ten guests, so the working assumption is ten guests per table. Per table, the usual requirement is one table number, one centrepiece, ten place cards, ten chair sashes or covers, ten favours, one menu card and one table runner share. Ten tables therefore means roughly one hundred guests, one hundred place cards, one hundred sashes and one hundred favours, and that is the unit we quote against. Tier one is five to ten tables for an intimate ceremony; tier two is fifteen to twenty tables for a full reception; tier three is thirty tables and above, where the printing and the styling line up with a plan rather than a look. The other half of the sizing is decoration coverage rather than headcount. An arch set covers a frame from 8 ft to 15 ft, with aisle pillars at 1.2 m and 1.5 m; a paper flower garland runs 3 m per strand; aisle decor is quoted per ten metres of aisle; table runners and napkin rings are counted per table and per cover, and a hall laid with long banquet tables needs fewer runners than one laid with rounds. Send the table plan and the venue floor plan together. The table plan sets the printing; the floor plan sets the fabric, the arch and the aisle counts, and the two rarely arrive in the same enquiry.

Customisation: foil, print, engraving and names on the day

Four processes carry the custom work on this range, and choosing the wrong one is the most common reason a reprint happens. Hot foil stamping covers gold, rose gold and silver on kraft, ivory and textured card, on invitations, favours, tags and packaging; it reads as a solid metallic block and cannot hold fine gradients or a hairline rule. Screen printing is the route for flat colour on non-woven bags, ribbon and fabric, and it holds a bold logo well on a woven surface. Heat transfer is used where a full-colour image has to sit on a fabric or a coated surface. Laser engraving covers the rigid items: wood-look trays, mirror panels, acrylic signs and name cards, where the mark is cut into the surface rather than laid on it. Personalisation is a separate decision from decoration. Monogram or date printing is one artwork applied many times; guest names on place cards, escort cards and tags are variable data, which means we need a clean spreadsheet rather than a design file, and it means the print run cannot start until the final list is closed. Artwork requirements are predictable: vector files in AI, EPS or PDF with fonts outlined, 3 mm bleed, Pantone references rather than screen values, a minimum line weight around 0.25 mm and a minimum type size around 6 pt for reversed text. Approve foil and colour on the actual substrate, because the same gold looks different on kraft and on ivory.

Packing a wedding order, and the cube problem

Packing is quoted in two layers: an inner OPP bag, header card or colour box, and then the export carton, and the Yiwu convention writes it as the carton count together with how a carton breaks down into boxes and pieces, so 240 pieces to a carton reads as 12 pieces per box times 20 boxes. Carton counts are typical rather than confirmed: comparable wedding and party lines run about 130 to 1,200 pieces per carton depending on the size of the piece, and the figure is confirmed against the actual order. Outer cartons cluster into two size families, 50 x 40 x 40 cm and 70 x 50 x 60 cm, with other measured sizes in the same families such as 55 x 54 x 54 cm, 66 x 41.5 x 43 cm, 67 x 37.5 x 34 cm, 70 x 50 x 58 cm and 88 x 58 x 54 cm, and gross weight is mostly 10 to 21 kg per carton. Weight and volume move in opposite directions across this range. Balloons, paper flowers, arch fabric, table runners and paper poppers cube out before they weigh out, so they are charged on volume, while acrylic and wooden signs, table numbers, tinplate candy tins, champagne glasses and napkin rings are dense and lift the average container density. Acrylic is also the fragile half: it travels with corner protection and an interleaving sheet, and glassware needs inner dividers. Loading light and dense groups into one container is what keeps freight per unit sensible. Carton figures are typical for the line.

MOQ, sampling and the wedding season calendar

Minimum order depends on the group. Small accessories such as place card holders, wax seals, tags and pens start around 100 to 500 pieces per design. Mid-range items such as favour boxes, invitation suites, napkins and sashes start at 100 to 500 sets or pieces per design. Larger items such as arch frames, backdrop sets and centrepiece sets start lower in units and higher in value, commonly 10 to 50 sets. Personalised items sit above stock minimums because variable data needs its own set-up, and packaging with your own artwork starts higher again. Sampling takes two to three weeks and a sample fee is normally credited against the order. Stock designs ship in 15 to 25 days, custom printed or private label work in 35 to 50 days from sample approval, and we add two to three weeks for sampling. Then the calendar takes over. The northern wedding season runs from May to September with Saturday concentration, so stock has to be in the warehouse by April, which means production clears before the spring, which means sampling happens between November and January. Sea transit is 30 to 40 days with about two weeks for port and inland movement, and Chinese New Year removes one to three weeks of capacity in the middle of the spring window. Work backwards from the ceremony date rather than forwards from the enquiry, and confirm all quantities, lead times and pack formats against the actual order.

Compliance: paper, fabric, glass and confetti are four families

Compliance follows the item rather than the order. Items can be produced to EN 71, CPSIA, FDA, LFGB and REACH standards, and test reports are available on request: ask us for the current report for the specific item. Three families need their own confirmation before an order is placed. Food contact items are the first: champagne glasses, candy tins sold to hold unwrapped confectionery, and any insert tray follow the food contact route, under FDA for the United States or LFGB for Germany. Children's items are the second: balloons, and any decor intended for a child's room or an early-years ceremony, can be produced to the toy standard of the destination market, and balloons are quoted with nitrosamine limits under EN 71. Decorated surfaces are the third: acrylic and wooden signs, printed card and foil-stamped boxes are a chemistry question of inks, coatings and adhesives, and migration testing can be requested where the item is intended for children. LED items and battery-powered decor are electrical items, and the transport documents for the cells are confirmed with the carrier before booking. Paper poppers and confetti also carry transport restrictions that vary by carrier and destination. Quality control, and five things wedding buyers get wrong

Five things go wrong on a wedding programme, and four of them are decisions rather than defects. First, buying group by group. Ordering sashes from one source, stationery from a second and packaging from a third produces three versions of ivory and a room that looks assembled rather than styled. The palette has to be approved across substrates at the same time. Second, ordering the printing before the guest list closes. Place cards, escort cards and guest name tags are variable data, and a print run started on an open list guarantees both a reprint and a shortfall. Third, forgetting the cube. Drapes, sashes, arch frames and artificial florals are light and enormous, so a container loaded with them alone carries very little value; load them alongside dense glass, mirror and tableware. Fourth, approving foil on paper rather than on the substrate: the same gold reads differently on kraft, ivory and matte laminate, and foil scuffs in transit unless the pack format protects it. Fifth, treating a favour as decoration when it is a food container. On the quality side, our checks run before the fabric is cut, during the print run and on the finished sets: colour against the approved standard under fixed lighting, print position and registration, stitch and seam strength on sashes, glass edge finish, carton drop and a pre-shipment inspection with a photo report. Third-party inspection is welcome at your nominated laboratory, and the acceptance standard is agreed before production rather than after.

  • Can you supply the whole wedding look for fifteen tables in one order and one palette?

    Yes, and that is how the range is designed. Fifteen tables is roughly one hundred and fifty guests, which converts into fifteen table numbers, fifteen centrepieces, one hundred and fifty place cards, one hundred and fifty sashes, one hundred and fifty favours plus the packaging, and about fifteen metres of aisle decor. We quote it as one configuration in one colour system, on one set of shipping documents and one shipping date. Send the table plan and the venue floor plan and we will flag the items where a decision is needed early. All quantities are confirmed against the actual order.

  • How much space does a wedding order actually take, and what is the cube?

    It is a volume order rather than a weight order. Fabric is the driver: one hundred chiffon sashes take roughly 0.06 to 0.08 cbm folded, a six-metre drape set is similar, and a 2.4 m arch frame packs into a long narrow carton that fills a container quickly while weighing little. Glass and mirror are the opposite and weigh out before they cube out. Loading the two together brings the container to a sensible density instead of a light, half-value load.

  • Can you print guest names on place cards, escort cards and tags?

    Yes. Monogram, date and single-name printing is one artwork applied many times and is straightforward. Guest names are variable data, so we need a clean spreadsheet rather than a design file, and the run cannot start until the final list is closed. Artwork should be vector in AI, EPS or PDF with fonts outlined, 3 mm bleed and Pantone references. Foil stamping is a solid metallic block and cannot hold fine gradients or hairline rules, so approve it on the actual substrate before the full run.

  • How far ahead should we order for a peak-season wedding?

    Work backwards from the ceremony date. Sea transit is 30 to 40 days plus about two weeks for port and inland movement, custom production is 35 to 50 days from sample approval, and sampling takes two to three weeks. For a May to September wedding the enquiry therefore belongs between November and January. Chinese New Year also removes one to three weeks of factory capacity in the middle of the spring window, so a programme running through it should be placed before it rather than through it. Timings are confirmed against the actual order.

  • Are the florals, drapes and candles suitable for an indoor venue, and what documents come with them?

    It depends on the venue, so treat it as a document question rather than a verbal one. Drape fabric and artificial florals for an indoor venue are frequently requested with a flammability test against the venue's own requirements. A child's dressing-up piece, such as a flower girl dress, is a toy item and can be produced to EN 71-1 and EN 71-2. Favour jars or tins that hold unwrapped sweets are food contact items and can be produced to FDA or LFGB. Candle sets ship as LED rather than flame.
