Baby and kids retail chains buy against planogram space and reorder the same references. Supermarkets and discount chains buy volume in a narrow palette and want a retail-ready pack. Event agencies order against a fixed date. Cake studios, venues and hospitality operators replenish small quantities often. Many arrive with a mood board, a colour reference or a styling brief and expect it translated into a full purchase list. Others arrive with a guest count, an age and nothing else. How a set is built, and how one colour system holds it together
A birthday order is a stack of layers, and the set is only complete when all five are present: a service layer of dinner plate, dessert plate, cup, napkin and cutlery; a dressing layer of table cover, runner, centrepiece and chair sash; an atmosphere layer of balloon garland, banner and streamers; a share layer of favour bag, box and thank-you card; and a memory layer of backdrop and photo props. Buyers who order layer by layer end up with five suppliers, five palettes and a party that does not read as one design. Buying a set keeps the ratio between layers and the colour consistent. The ratios we build to are the trade standard: per guest, one dinner plate, one dessert plate, one cup, one to one and a half napkins and one cutlery set; per table of eight, one cover, one runner and one centrepiece. A balloon garland takes twelve to fifteen balloons per running metre, and favours are ordered at one and a tenth per guest, because children take two. One colour system holds the set together: a lead colour, an accent and a neutral, carried across every material in the order, from coated paper and kraft to fabric, foil film, ribbon and ink. The practical warning is that the same reference prints differently on paper, textile and foil, so a palette is approved on physical samples across all three substrates.
Guest-count tiers and the per-guest maths behind them
Guest count is the unit of purchase on this page, and the tiers we quote are the ones the market buys: 8, 12, 16, 24, 32, 50 and 100 guests. Each tier is a ready set with the service, dressing and share layers scaled to that count, so a buyer can order a 16-guest and a 24-guest version of the same design and put both on one planogram. The maths behind each tier is simple to check at enquiry stage. A seated table of eight needs about 1.2 m of running length, so a 16-guest order is two tables, two covers and two centrepieces. Napkins are ordered at one and a half per guest, because they are used for cake as well as spills. Cutlery is one set per guest, and children under six count as half a service set. Balloons follow span rather than heads: a 5 m garland takes 110 to 140 balloons, a 10 m arch 220 to 280, and a table centrepiece cluster 12 to 20 pieces. Cake is specified separately from the guest tier, but the rule of thumb for a dessert table is one portion per guest plus a ten per cent margin, and one small plate per guest in addition to the dinner plate. Tell us the guest count and the seated or standing format and we will convert it into a full item count.
Customisation: names, ages, themes and packaging
Custom work here runs from a printed name to a fully private-labelled programme, and the level you choose decides the minimum, the lead time and how much of the order can vary. The lightest level is fixed-content printing: numeral sets, a generic greeting, age figures, or your own artwork on stock sets. The middle level is personalisation to a theme and palette: printed banners, cake toppers, favour tags, cards and letter sets in your specified colours, with paper stock and ink matched to the rest of the set. The deepest level is packaging: a printed header card, your own colour box, hang tag and barcode, which is what turns a loose set into a retail reference. Artwork requirements are worth knowing before you design. Send vector or high-resolution files at 300 dpi minimum, with the die line and safe area marked and colours given as Pantone references rather than screen values. Tableware print sits on a food contact surface, so ink and coating must be suitable for that use, and artwork is drawn in the finished cut, because a straight border on a flat sheet becomes a curve on a formed plate. One structural limit matters commercially: name-by-name personalisation is quoted per name, so a personalised set is normally a blank stock base plus a printed insert, topper or tag carrying the individual name. Approve on a physical printed sample, not on paper.
Packing, carton counts and the freight consequence of bulky sets
Packing is quoted in two layers, an inner bag, header card or colour box and then the export carton, and the Yiwu convention writes it as the carton count plus how a carton breaks down into boxes and pieces: 240 pieces to a carton reads as 12 pieces per box times 20 boxes. Carton counts are typical rather than confirmed and run about 130 to 1,200 pieces per carton, fixed only when the item is finalised. Outer cartons cluster into two size families, 50 x 40 x 40 cm and 70 x 50 x 60 cm, with other measured sizes in the same families such as 55 x 54 x 54 cm, 66 x 41.5 x 43 cm, 67 x 37.5 x 34 cm, 70 x 50 x 58 cm and 88 x 58 x 54 cm; gross weight is mostly 10 to 21 kg per carton and a heavy line can run far heavier. Light bulky lines such as balloon kits, backdrop cloth and paper stands cube out before they weigh out, so they are charged on volume rather than weight and are best loaded against dense paper tableware and card lines. Weights, carton sizes and counts are typical for the line, are not a confirmed value for any single SKU, and are fixed against the actual order.
How to order: MOQ, sampling and the composition of a set
Minimum order is quoted per group, and the grouping is what makes a complete set orderable at a realistic minimum. Small accessories and favour pieces start around 100 to 500 pieces per design. Tableware sets start around 200 to 500 sets per design at the smaller guest tiers and 100 to 300 sets at the 50 and 100 guest tiers. Balloon arch and column kits start around 100 to 300 kits, and game or activity kits around 200 to 500 sets. Backdrop and photo sets, the highest-value and highest-cube line, start lower, commonly 50 to 200 pieces or 10 to 50 sets. Printed and private-label work sits above stock minimums and is quoted against your artwork, and personalised items are quoted per name. Sampling matters more here than on a single-item page, because the buyer approves a combination rather than one product, and stock designs can be sampled from existing production. For a custom set we normally produce a pre-production sample of the full set, the palette across all substrates and the packaging together, so the check is whether the layers read as one design. Custom samples take seven to fifteen days, and the sample charge is normally credited against the production order. Set composition is worth negotiating at this stage rather than after approval: counts can be re-cut, a cup swapped for a bowl, a 16-guest set extended to 24 guests, or the favour layer packed separately.
Lead time and the birthday reorder calendar
Stock sets usually ship in 15 to 25 days. Custom printed or private-label work runs 30 to 45 days from sample approval. Personalised name and age printing adds five to ten days after the names are confirmed and proofed, and packaging such as a colour box or printed header card sits inside the same 30 to 45 day window rather than after it. Sampling and revision count from enquiry rather than approval and add two to three weeks. Birthday stock has an easier calendar than a seasonal range, and that is why buyers get it wrong: there is no single shelf date to work back from, so programmes are placed late and then rushed. The demand curve is not flat either. Spring is busy in Europe and North America, June to August carries children's parties, September brings the autumn party season, and December is dominated by year-end demand, while milestone ages such as first, eighteenth and fiftieth birthdays run steadily all year. Sea transit from Asia to Europe or North America is 30 to 40 days, plus around two weeks for port and inland movement. For a programme that has to be on shelf before a peak month, plan backwards: three weeks sampling, 45 days production, 40 days transit, two weeks inland, and place the order before the pre-holiday factory window closes. Production windows and transit figures are common industry ranges and are confirmed against the actual order.
Compliance: one order, several document families
Compliance here is decided by what the item touches and what it contains. Items can be produced to EN 71, CPSIA, FDA, LFGB and REACH standards; ask us for the current test reports for the specific item. Three families need their own confirmation before an order is placed. Paper tableware, meaning plates, cups, napkins, cake boards and any printed piece that touches food, is a food contact material and follows the destination market's food contact regime, typically FDA in the United States or LFGB in Germany, with migration testing rather than a toy standard. Party goods a child plays with, including favour toys, small game pieces, temporary tattoos and any children's item with attached small parts, are assessed as toys, with EN 71 or CPSIA small-parts and phthalate requirements and warning labelling. Candles and any open flame item are a separate logistics family: they are confirmed against the destination market and the carrier as dangerous or restricted goods before shipment. Latex balloons carry a nitrosamine requirement and a choking hazard warning, and any item with an LED or a button cell needs its cell type, compartment design and transport documents confirmed to UN38.3 and the button cell rules before sampling. Five things buyers get wrong on birthday programmes
Five things buyers get wrong on birthday programmes. First, ordering items instead of a set. The service, dressing, share and memory layers have to arrive in the same palette and the same ratio, and a mixture of suppliers is what makes a party look unfinished even when every item is fine. Second, ignoring cube. Backdrop frames, printed backdrops, paper risers and balloon kits are bulky and light, so a container filled with them cubes out early; loading them with denser paper tableware, games or glassware changes the landed cost per set completely. Third, treating the per-guest count as a guess. Napkins are needed at one and a half per guest, children under six at half a cutlery set, and dessert requires its own small plate, so under-ordering shows up on the day rather than on the invoice. Fourth, leaving personalisation to the last minute. Name printing has a minimum per name, needs proofing and is quoted above stock terms, so it belongs in the original order rather than a late top-up. Fifth, assuming one compliance document covers a paper plate, a party game and a candle. They sit in three different report families. How many plates, cups and napkins should we allow per guest?
As a working rule: one dinner plate, one dessert plate, one cup, one to one and a half napkins and one cutlery set per guest. Children under six are usually counted at half a cutlery set. Per table of eight we allow one table cover, one runner and one centrepiece, and a balloon garland takes roughly twelve to fifteen balloons per running metre. Send us the guest count and the seated or standing format and we will return the full item count per group.
Can the same set be supplied with different names or ages printed on it?
Yes. Personalisation is normally built as a blank stock set plus a printed insert, topper, banner or tag that carries the individual name, age or wording, because name-by-name printing is quoted per name and has its own minimum. That structure lets one order cover many different names without committing the whole set to one print run. Artwork should be supplied as vector or 300 dpi files with colours as Pantone references, and it is approved on a physical printed sample rather than on paper.
Which items in a birthday set need their own compliance reports?
More than most buyers expect, because one set crosses several report families. Paper plates, cups, straws and favour jars that hold food are food contact materials under the destination market's food contact regime. Party games, piñata sets, temporary tattoos and small favour toys are toy items. Candles, battery or LED toppers and latex balloons each sit in their own family again. Tell us the destination market and we will confirm which document applies to which line and can provide the current test reports for the specific item.
Can the whole birthday programme ship in one container?
Yes, and mixed loading is what makes the freight work on this page. Balloon kits, backdrop frames and paper risers are light and bulky and cube out quickly, while paper tableware, games and glassware are dense. Loading them together brings the container to a sensible average density. We load across all nine groups against one shipping date and one set of documents, on FOB, CIF or DDP terms, and we will propose a loading plan and a cube estimate per line once your mix is confirmed.
