How a baby shower set is built, and how the colour decision works
Two things hold a baby shower set together: the layer stack and the colour decision. The layers are the same as any occasion: a service layer of plates, cups, napkins and cutlery; a dressing layer of tablecloth, runner and centrepiece; an atmosphere layer of balloon arch or column, banner and bunting; a reveal layer, unique to this occasion, of the foil balloon, confetti cannon, powder pouch or cake insert that carries the announcement; and a memory layer of backdrop, photo props and milestone cards. Skipping the reveal layer leaves the set without its focal moment; skipping the memory layer leaves nothing for the photographs. The colour decision is the harder one commercially. Pink and blue sell quickly and then stop, whereas sage, beige, terracotta, grey, cloud white and soft gold run all year. The structure we recommend is a neutral base plus a colour insert: tableware, banner and tablecloth in a neutral palette, with reveal pieces, balloons and toppers supplied separately in pink or blue. One programme then sells all year, and the coloured components can be replaced without touching the base. On reveal mechanics, accept the practical constraints early. Confetti cannons are pressurised items with transport documentation, powder pouches generate fine dust and can stain fabric, and smoke sticks and flame effects are excluded from many indoor venues, so a set should also offer low-risk alternatives such as a foil reveal balloon or a cake insert.
Guest-count tiers and the per-guest maths behind them
Guest counts at a baby shower run smaller than at a birthday, and the tiers reflect that: 8, 12, 16, 24, 32 and 50 guests, with 15 to 30 the most common range. Each tier is a complete set rather than a list of items, so the service, dressing, reveal and memory layers already match in quantity and palette. The per-guest maths is straightforward: per guest, one large plate, one small plate, one cup, one and a half napkins and one cutlery set, with children counted at half a service set. Per table of eight: one tablecloth, one runner and one centrepiece, so a 24-guest order is normally three tables and three centrepieces. Dessert is counted at one portion per guest plus ten per cent, with a small plate each in addition to the main plate. Game cards, prediction cards and sign-in pieces are counted at one per guest plus a few spares, because late arrivals still take part. Favours are counted at one and a tenth per guest. Nappy cake pieces are ordered per table rather than per guest, one as the centrepiece of the dessert table. Balloons follow span rather than heads: a 5 m garland takes 110 to 140 balloons, a 10 m arch 220 to 280, and a reveal cluster 12 to 20 pieces. Customisation: names, dates, reveal wording and packaging
Custom work here is mostly about names, dates and the announcement, and the level you choose decides the minimum and lead time. The lightest level is fixed-content printing: a generic greeting banner, a milestone card set, or your own artwork on a stock set. The middle level is personalisation to a name, a date and a palette: a printed banner carrying the baby or family name, prediction and advice cards, favour tags, announcement-style toppers and milestone cards in your colours. The deepest level is packaging: a printed header card, your own colour box, hang tag and barcode, which is what converts a loose set into a retail reference. Artwork requirements are worth settling before design starts. Supply vector or high-resolution files at 300 dpi minimum, with the die line and safe area marked, and give colours as Pantone references rather than screen values. Colours should be approved across substrates, because the same reference reads differently on coated paper, felt, kraft, fabric and foil, and a banner and a plate from one palette should be checked side by side. Two structural limits are worth knowing. Name-by-name personalisation is quoted per name, so a personalised set is normally a blank stock base plus a printed insert, topper or tag. And any printed piece that touches food, such as a topper inserted into a cake, needs ink and coating suitable for that use, which is a specification decision rather than a design decision.
Packing, carton counts and the freight consequence of bulky pieces
Packing is quoted in two layers, an inner bag, header card or colour box and then the export carton, and the Yiwu convention writes it as the carton count plus how a carton breaks down into boxes and pieces: 240 pieces to a carton reads as 12 pieces per box times 20 boxes. Carton counts are typical rather than confirmed and run about 130 to 1,200 pieces per carton, fixed only when the item is finalised. Outer cartons cluster into two size families, 50 x 40 x 40 cm and 70 x 50 x 60 cm, with other measured sizes in the same families such as 55 x 54 x 54 cm, 66 x 41.5 x 43 cm, 67 x 37.5 x 34 cm, 70 x 50 x 58 cm and 88 x 58 x 54 cm; gross weight is mostly 10 to 21 kg per carton and a heavy line can run far heavier. Light bulky lines such as balloon kits, backdrop cloth and paper stands cube out before they weigh out, so they are charged on volume rather than weight and are best loaded against dense paper tableware and card lines. Weights, carton sizes and counts are typical for the line, are not a confirmed value for any single SKU, and are fixed against the actual order.
How to order: MOQ, sampling and the base-plus-insert structure
Minimum order is quoted per group, and the grouping is what makes a complete set orderable at a sensible minimum. Small game, sign-in and favour pieces start around 100 to 500 pieces per design. Tableware sets start around 200 to 500 sets per design at the smaller guest tiers and 100 to 300 sets at the 32 and 50 guest tiers. Balloon arch and column kits start around 100 to 300 kits. Backdrop and photo sets, the highest-value and highest-cube line, start lower, commonly 50 to 200 pieces or 10 to 50 sets, and nappy cake pieces start around 50 to 200 sets depending on the pack format. Printed and private-label work sits above stock minimums and is quoted against your artwork. Sampling matters more than on a single-item page, because the buyer approves a combination: the palette across paper, felt, fabric and foil, and the reveal pieces standing next to the table pieces. For a custom set we normally produce a pre-production sample of the full set with its packaging in seven to fifteen days, and the sample charge is normally credited against the production order. Set composition is worth negotiating before approval. Counts can be re-cut, a pink reveal layer can be swapped for blue or neutral inside the same order, game cards can be scaled, and the neutral base can be ordered separately from the coloured insert, which is the structure that protects a buyer from dead stock at the end of the season.
Lead time and the baby shower calendar
Stock sets normally ship in 15 to 25 days. Custom printed and private-label work runs 30 to 45 days from sample approval. Personalised name and date printing adds five to ten days after the names are confirmed and proofed, and packaging such as a colour box or printed header card sits inside the same 30 to 45 day window. Sampling and revision count from enquiry rather than approval, adding two to three weeks. The calendar here behaves differently from a seasonal range. Demand is steady through the year, with spring and autumn the busiest windows in Europe and North America, a lift in the fourth quarter from gifting and family events, and the full-month and hundred-day celebrations creating a steady baseline in Asian markets. The complication is that the event date is set by the pregnancy and can move, so buyers often convert an enquiry into an order with less notice than a seasonal programme allows. Sea transit from Asia to Europe or North America runs 30 to 40 days, plus about two weeks for port and inland movement, so a programme built around a fixed date has to be planned backwards: three weeks sampling, 45 days production, 40 days transit, two weeks inland. Where the date is close, the sensible tool is a stock set rather than a custom one. Production windows and transit times are common industry ranges and are confirmed against the actual order.
Compliance: one order, several document families
Items can be produced to EN 71, CPSIA, FDA, LFGB and REACH standards; ask us for the current test reports for the specific item. Four points are confirmed item by item before an order is placed. Paper tableware, plates, cups, napkins and any printed piece that touches food is a food contact material under the destination market's regime, typically FDA in the United States or LFGB in Germany, with migration testing rather than a toy standard. Game cards, favour toys, scratch cards with small parts and any item a child plays with are assessed as toys, with EN 71 or CPSIA small-parts and phthalate requirements and warning labelling; a soap favour is a cosmetic item with its own labelling. Gender reveal pieces are a separate logistics family: hand-held powder cannons, confetti cannons, poppers and smoke sticks carry transport restrictions and venue restrictions, and their powder, pressure and documentation are confirmed with the destination market and the carrier before shipment. Latex balloons carry a nitrosamine requirement and a choking hazard warning, and any item with an LED or a button cell has its cell type, compartment design and transport documents confirmed to UN38.3 and the button cell rules before sampling. Five things buyers get wrong on baby shower programmes
Five things buyers get wrong on baby shower programmes. First, committing a whole programme to pink or blue. Those colours sell quickly and then stop, and leftover stock has no second season. Order a neutral base plus a coloured insert and the programme sells all year. Second, treating reveal items as ordinary decoration. Confetti cannons are pressurised, powder pouches leave fine dust that can stain fabric, and smoke or flame effects are excluded from many indoor venues, so confirm what the venue permits and keep a balloon or cake-insert alternative. Third, assuming favour jars, soap favours and cake decorations are pure decor. A jar that holds sweets is a food contact item, and a soap bar sits in the cosmetic family with its own labelling. Fourth, not scaling the paper goods to the guest count. Prediction cards, game cards, sign-in pieces and favours are counted per guest, and running short cannot be fixed by the supplier on the day. Fifth, ignoring cube and fragility. Backdrop frames, risers and nappy cake pieces are bulky and light, glass jars are fragile, and freight billed on volume makes a badly loaded container expensive per set. For most buyers the base-plus-insert structure works better commercially. Pink and blue sell quickly and then stop, so a programme committed to one colour leaves stock with no second season. We normally propose tableware, banners and tablecloths in a neutral palette such as sage, beige, terracotta, grey or cloud white, with the reveal pieces, balloons and toppers supplied separately in pink or blue. The coloured components can then be reordered alone, and the base keeps selling all year.
Do confetti cannons, powder pouches and smoke sticks have shipping or venue restrictions?
They do, and they should be confirmed before they go into a set. Confetti cannons are pressurised items and carry transport documentation; powder pouches generate fine dust that can stain fabric and flooring; smoke sticks and any flame effect are excluded from many indoor venues. For markets and venues where those items are not workable, we suggest keeping a low-risk alternative in the range, such as a foil reveal balloon or a cake or cupcake insert. Tell us the destination market and where the event is held and we will confirm what applies.
Do baby shower game cards and favours need toy safety testing?
Some of them do, and the split is by item rather than by set. Party games, piñata sets, scratch cards with small parts and favour toys are toy items, assessed under EN 71-1 for mechanical safety, EN 71-2 for flammability where relevant and EN 71-3 for migration of elements, or under CPSIA with ASTM F963 in the United States. A favour soap bar sits in the cosmetic family instead, and a favour jar that holds sweets is a food contact item. Items can be produced to EN 71, CPSIA, FDA, LFGB and REACH requirements; ask us for the current test reports for the specific item.
How far ahead should a baby shower order be placed?
For a custom set, work backwards from the event date: two to three weeks sampling, 30 to 45 days production, 30 to 40 days sea transit and about two weeks for port and inland movement. That puts a comfortable enquiry four to five months before the event. Stock designs ship in 15 to 25 days and suit a shorter window. Because the date is set by the pregnancy and can move, tell us the date at enquiry stage and we will confirm whether a stock set, a custom set or a split shipment is the right route. All lead times are common industry ranges and are subject to confirmation on the actual order.
